Overview
How to Monitor and Control a Project Effectively training
- The Monitoring and Controlling process oversees all the tasks and metrics necessary to ensure that the certified and authorized project is within scope, on time, and on budget so that the project proceeds with minimal risk.
- This process includes comparing actual performance with planned performance and taking corrective action to yield the desired outcome when significant differences exist. Monitoring and Controlling process is gradually performed throughout the life of the project.
Monitoring and controlling includes:
- Measuring the ongoing project activities (‘where we are’);
- Monitoring the project variables (cost, effort, scope, etc.) against the project management plan and the project performance baseline (where we should be);
- Identify corrective actions to address issues and risks properly (How can we get on track again)
- Influencing the aspects that could circumvent integrated alteration control so only approved changes are implemented.
In multi-phase projects, the monitoring and control process also provides feedback between project phases, in order to implement corrective or deterrent actions to deliver the project into compliance with the project management plan.
Controlling can be a very challenging part of the project manager’s job description and often very hard decisions have to be made. The key thing to remember, however, is that it is much easier to control your project if you haven’t let it get too far ‘out of control’ first, that is, too far away from your original plan. This relates to the monitoring part, and emphasizes the need to make sure you are monitoring the process of the project.
Project maintenance is an ongoing process, and it includes:
• Continuing support of end-users
• Correction of errors
• Updates of the software over time
There are four inputs to the monitor and control project work process:
- Project management plan:
This is one of the many common inputs and is an obvious choice as it summarizes all of the planning processes, the various plans, strategies and baselines. Since monitoring and controlling project work is assuring that the results are in line with the plan, this is a key input.
- Performance reports:
These provide information on the status of the process of the project work and serve actual performance so that it can be compared to the plan. Such evaluation can then be used to take any essential corrective action. These reports give valuable information of improvement against the scope, time, cost, and quality baselines.
An important part of the project manager’s job is not just to capture actual information but also to look ahead based on current performance. This information will allow the project manager to make informed selection about implementing preventative actions and therefore resolve problems before they arise in the first place.
- Enterprise environmental factors:
The manner in which monitoring and controlling of the project work takes place will depend upon factors such as laws and regulations, your organization infrastructure, and elements such as the organizations appetite for risk.
- Organizational process assets:
In a similar way to the above, an organization may have monitoring and reporting documentation templates, or policies procedures or guidelines for reporting, in addition there may be lessons learned from prior similar projects advising the type and frequency of such monitoring and controlling.
Some advantages of Project monitoring and controlling:
• Instant view of the project status: anticipation to issues and decisions based on relevant information.
• Avoid budget overrun and delays: as a result of an effective monitoring of all the important aspects of the project.
• Improvement of productivity: Minimizing the necessary time to generate reports, gathering information from different sources.
• Collaboration of all stakeholders: an intelligent team is a solid and motivated team.
• Objective evaluation of providers: efficiency parameters to define improved legal agreements.
• Continuous improvement: anything that can be measured and analyzed can be improved.
Why you should do Project Monitoring and Controlling Training?
- Given a project plan it follows that activities are needed to monitor the process of the project and take corrective action when appropriate. These monitoring and corrective action activities are the goals and practices of the project monitoring and control process
- For the intention of project control and monitoring it is helpful to refer to the three key control objective areas of:
- Quality, which involves the value and aim of the project
- Cost, this involves both human and other resources.
- Time, which is differentiated from expense as it is the time to transfer.
- Project monitoring and control is crucial aspect in the project management cycle. Correctly executing this process will provide significantly to successful project completion. Project activity monitoring is factor of project management that is performed during the whole of project. Controlling is the aspect wherein corrective and deterrent actions are taken. Project managers need to increase their ability and effectiveness in monitoring and controlling their project process in order to increase the speed and accuracy of project delivery.
- By attending this program, project managers will be ensured that they are equipped with useful tools and techniques to monitor and control project improvements and to measure project. You will also learn how to measure project performance – objectively
